Cash purchases

Something you paid for on the spot, from the bank or petty cash, with no bill left to pay.

On this page

A cash purchase is something you pay for there and then: stationery from the shop down the road, or stock bought for cash. The money comes straight out of the bank or cash account you choose, so there is nothing left to pay.

The screen

A new cash purchase: five reams of paper from a shop, paid from petty cash.
A new cash purchase: five reams of paper from a shop, paid from petty cash.
  1. Bank / cash account: where the money came from, for example CASH for petty cash.
  2. Supplier (optional): one of your suppliers. Leave it on — walk-in / one-off — for a shop you seldom use.
  3. Supplier name: the shop's name, for a one-off supplier.
  4. Location (warehouse): where stock items go.
  5. Purchase account: the account each line goes to, for example 910-0000 for stationery. Choosing an item fills it in.
  6. Post Cash Purchase: saves and posts it.

Record a cash purchase

  1. In the menu, open Buy, then Cash purchases, and click New.
  2. Choose the Bank / cash account and check the Doc date.
  3. Choose the Supplier, or type the Supplier name of a one-off shop. Key their receipt number in Supplier doc #.
  4. Add the lines: an item code, or a description and its Purchase account. Key the Qty, the Unit price and the Tax.
  5. Click Post Cash Purchase.
  6. In the box that opens, click Preview or Print, or Close (Esc) to go back to the list.

The list

The Cash Purchases list shows each one with its Bank and its supplier's document (Sup. doc). Select a row and click Preview or Print to see it again.

If something goes wrong

  • Post Cash Purchase is grey: choose the Bank / cash account first.
  • "Add at least one line with qty + unit price > 0.": each line needs a description, a quantity and a unit price.
  • "Line 1: purchase account required.": pick a Purchase account on that line.
