Aged receivables

What each customer owes you on a date, split by how old the unpaid invoices are.

On this page

Aged receivables lists every debtor (customer) who owes you money, with the amount split by age. Use it each month to see who to chase first.

The screen

Aged receivables as at 30 Nov 2026: five customers, most of it under 60 days old.
Aged receivables as at 30 Nov 2026: five customers, most of it under 60 days old.
  1. The date: the report shows what was owed at the end of this day. It starts at today.
  2. A row: one debtor, with their code and name.
  3. Current: invoices dated on the date itself. 1-30: 1 to 30 days old.
  4. 31-60, 61-90 and > 90: older amounts. Chase these first.
  5. Total: everything the debtor owed on that date.
  6. Totals: each column added up. The last figure is everything your customers owe you.

The age counts from the invoice date, not the due date. So an invoice on 30-day terms sits in 1-30 even before it is due.

Check who owes you

  1. In the menu, open Reports, then Aged receivables. The screen is headed Aged AR.
  2. Change the date at the top right, for example to the last day of the month. The report updates at once.
  3. Read down the Total column to see who owes the most.
  4. Look along each row for amounts under 61-90 and > 90, and call those customers first.
  5. To see the invoices behind a figure, open the customer's statement.

A payment counts only from its own date. Set the date to the end of last month and you see what was owed then, even if the customer has paid since.

If something goes wrong

  • No outstanding AR for this date.: nothing was owed on that day. Check the date: it may be before your first invoice.
  • A minus amount: money received on account, or a credit note, that is not yet knocked off an invoice. Knock it off in Receive payment or Customer credit notes.
  • A customer who paid still shows: the payment is dated after the report's date. Set a later date.
