Start part-way through the year

Bring in what your old books showed on the day before you start, so balances, ageing and reports are right from day one.

On this page

Most businesses do not start a new system on the first day of their financial year. You can start in any month. You key what your old books showed on the day before, then carry on in eaasycount.

The idea

You choose a start date: the first day of a month, for example 1 October 2026. Everything you bring in is as at the day before: 30 September 2026. From the start date on, you key your work in eaasycount as usual.

Opening balances for a company that started on 1 Oct 2026.
Opening balances for a company that started on 1 Oct 2026.
  1. Start date: the month you start keeping your books in eaasycount.
  2. Customers owe you: each unpaid customer invoice, with its own number and date, so ageing, statements and receipts work.
  3. You owe suppliers: each unpaid supplier bill, the same way.
  4. Stock: what you have on hand, with the cost of one unit.
  5. Trial balance: every account's balance from your old books. Income and expenses go in year to date.
  6. Bank not yet cleared: cheques and deposits that were not on your bank statement yet.

The last tab, Payroll year to date, takes each employee's pay and deductions for the months before. PCB and Form EA need them.

Bring in your old figures

  1. In the menu, open Settings, then Opening balances.
  2. Choose the Start date and click Set start date.
  3. Key the unpaid invoices on Customers owe you and You owe suppliers, and click Save on each.
  4. Key your Stock, then the Trial balance, from your old books' reports at the day before.
  5. Key Bank not yet cleared and Payroll year to date if you have them.
  6. Check for the green line Your opening balances agree.

The debtors, creditors and stock lines of the trial balance fill in from the other tabs: you never type them. A clearing account takes the other side of every opening entry. It ends at zero when your figures agree.

If something goes wrong

  • Not agreed yet: out by …: the trial balance does not match the unpaid invoices and stock. Compare each tab with your old books' reports.
  • An invoice is missing from Receive payment: key it on Customers owe you, with the amount still owing.

Very easy accounting.
